Please read these terms and the privacy notice before an administrator activates the service or buys a plan in the plugin.

What the service does

PotoSales helps a WooCommerce store extract information from purchase orders, compare limited product candidates and prepare a sales order for staff review. The store remains responsible for its customer, catalogue, prices, taxes, shipping and final order. A user must explicitly confirm before a WooCommerce order is created.

Availability

The plugin is available on WordPress.org. Installations and updates use WordPress.org only; this website does not distribute plugin ZIP files.

Who may start a trial

A WordPress administrator acting for the store may activate one trial for that store website. The store must have authority to upload the purchase orders and related customer information it sends for processing. Each connected WordPress website is a separate service account. Trial and plan allowances are not shared across websites. Reinstalling the plugin at the same website does not grant a second trial.

Trial allowance

The initial allowance is 14 days, 20 processed purchase orders and at most 5 new uploads per day. A successful nonempty purchase-order extraction consumes one credit; technical failure, non-PO or empty result releases the reserved credit. Retrying the same import and product comparison do not consume another trial credit. The plugin displays the applicable allowance before activation. The trial is free and does not turn into a paid subscription automatically.

Paid plans

Paid plans are bought for one WordPress website and shared by every staff member on that website; they are not shared with other websites. Prices are in US dollars. Monthly plans: Starter, 100 purchase orders per month for USD 19.99; Growth, 250 per month for USD 49.99; Business, 600 per month for USD 99.99. Top-up: 100 purchase orders for USD 29.99, valid for 12 months. Taxes are calculated at checkout where applicable. The plugin and checkout show the current price before payment.

Credits are counted as for the trial: a successful nonempty purchase-order extraction uses one credit, and failed, rejected or empty results release it. Each monthly payment adds that month's credits; unused monthly credits expire at the end of their period and do not carry over to the next renewal. When several credit packages are available, the one that expires first is used first.

Payment

Payments are processed by Freemius, Inc., our reseller and merchant of record, in a checkout window opened from the plugin's Plans and help page. Freemius's terms of sale apply to the payment, and Freemius issues the receipt and invoice. Card details are entered with Freemius and never pass through the plugin or the PotoSales service. Credits are added to the website that started the purchase once Freemius confirms the payment.

Changing plans

Switching to another monthly plan, higher or lower, buys the new plan at its full price and starts it immediately. The previous plan stops renewing, and its unused credits move into the new plan's first period and expire with it. Later renewals contain only the new plan's credits. There is no proration and no partial refund for the previous plan.

Purchases, cancellation and refunds

Purchase policy updated 13 October 2026. It does not change the free-trial terms.

Please use the free trial of 20 purchase orders over 14 days to confirm that the service meets your needs before purchasing. Refunds follow the Freemius terms of sale. If you have not downloaded, used or otherwise accessed the paid service, you may request a full refund within 14 days of purchase. Requests after accessing or using the paid service are reviewed case by case. This is not an unconditional 14-day money-back guarantee, and we do not automatically calculate refunds from unused credits.

Monthly plans renew automatically. An administrator can cancel renewal at any time under Plans and help in the plugin; purchased credits remain available until their expiry date. Top-up packs are one-time purchases, do not renew automatically and are valid for 12 months. Invoices and the payment card can be managed in the Freemius customer portal linked from the plugin.

To request a refund or report duplicate charges or missing credits, contact support with your website and payment reference. Approved refunds are processed through Freemius; unused credits from a fully refunded purchase are withdrawn. This policy does not limit any mandatory rights under applicable law.

Supported use

Files must be PDF, JPG/JPEG or PNG, no more than 5,000,000 bytes each; a PDF may have at most 5 pages. Do not upload documents unless your store is entitled to process and share them for this purpose. Do not use the service to bypass access controls, overload the system or submit unlawful content.

Results and availability

Extraction and product suggestions can be incomplete or wrong. Staff must compare them with the original purchase order and their WooCommerce records before creating an order. We may pause processing when a model provider fails, capacity is exhausted, abuse is suspected or maintenance is required. Existing WooCommerce orders remain in the store.

Data and ending the service

The privacy notice describes the data sent to PotoSales, Freemius and the AI provider, retention, deletion and support contact. When the trial or a paid period expires or credits run out, new model tasks stop; existing results remain subject to their normal retention period. You can stop using the service by disabling the plugin and request assistance at yyw41888@gmail.com. Disabling the plugin does not delete WooCommerce orders.

Changes

Changes to these terms apply to new acceptances and new purchases; the service records the version accepted by each store. A price change does not alter a period already paid for. Contact us if a change affects an active trial or plan.
