Manual Order Entry vs PDF Import in WooCommerce: A Worked Example
By PotoSales · Updated 10 October 2026 · Public release 0.3.3
PDF import is worthwhile only if preparing and checking the draft is useful in your actual workflow. Here is a small, reproducible comparison without an invented time-saving claim.
The same order, two ways
Our fictional sample contains four Thermal Panels at USD 12.50 each and two Sealing Tape rolls at USD 8.00 each. The line amounts are USD 50.00 and USD 16.00, for a confirmed total of USD 66.00. No shipping or additional tax is included in the example.
| Task | Manual entry | Reviewed PDF entry |
|---|---|---|
| Start the order | Read the PO and begin entering a WooCommerce order. | Upload the PO and open the extracted draft. |
| Customer | Find the saved customer or use guest entry. | Check the suggested customer or choose one. |
| Products | Search and add the correct products. | Check suggested products and resolve unmatched lines. |
| Quantities and amounts | Type the figures and compare them with the PO. | Review the extracted figures and correct them if needed. |
| Finish | Check the final order before continuing. | Preview, explicitly confirm creation and inspect the WooCommerce order. |
Check the final amounts, not just the number of clicks
For this PotoSales example, entered line amounts take precedence. The plugin does not automatically add or extract tax. WooCommerce manual entry can have different tax behaviour depending on how you use it and your store settings. Compare the intended final result rather than assuming the two paths have identical tax handling.
When manual entry may be sufficient
If you receive very few short orders, typing them can be straightforward. An unclear scan may also require substantial correction after extraction. A plugin adds installation, document-processing and review steps that should earn their place.
When PDF assistance is worth evaluating
Try it when staff repeatedly transcribe readable purchase orders, especially for recurring customers whose item-code correspondences can be saved. More lines can mean more typing to avoid, but also more fields to check. Do not assume longer orders automatically produce a time saving.
Run a fair trial
- Choose a representative set of documents you are authorized to process, including difficult examples.
- Record total time from opening the document to checking the finished order. Include extraction waits, corrections and setup.
- Count corrected customer, product, quantity and amount fields separately.
- Check final order accuracy in both workflows.
- Decide whether the observed benefit justifies continued use for your store.
This page reports a workflow example, not measured customer performance. The trial lets you evaluate your own documents, subject to the processing and privacy terms.
