Edited screen walkthrough with English synthetic narration and captions. Recorded using the publicly released 0.3.3 plugin and fictional data. Pauses between steps are shortened; this is not a processing-speed or accuracy benchmark.

What changed after this recording?

Version 0.4.3 includes buying monthly plans and top-ups in Plans and help, payment confirmation, switching plans and cancelling renewal. The confirmation wait ends after one minute; if it takes longer, refresh after five minutes and do not pay again for the same purchase.

Buying a monthly plan or top-up ends unused trial credits. Paying for PotoSales does not mark a customer’s WooCommerce order as paid.

What still applies, and what looks different?

The file limits, human review, product selection, confirmed amounts and pending-payment order result in this video still apply. In the current release, existing customers can be suggested from a unique exact email or name match, and customer-specific product mappings can be saved while reviewing. Addresses are optional; stock shortages are warnings. Current screens may therefore differ from this recording. Always verify suggested customers, products and amounts. See the current written guide.

Use a test store. The document contains four Thermal Panels at USD 12.50 and two Sealing Tape rolls at USD 8.00, totalling USD 66.00. The buyer is fictional and the email uses the reserved example.test domain.

Create or select the corresponding products in your test catalogue. Buyer codes PNL-30 and TAPE-01 need not equal your store SKUs; select the right store products when reviewing. The sample does not install products or change store settings. If you repeat the exercise, retain duplicate-PO warnings and review existing orders before creating another.

What to check

  • Correct customer or guest selection.
  • The actual product or specific variation for every line.
  • Quantity, unit, unit price, line amount and currency.
  • Final total of USD 66.00 for this example, with no additional tax or shipping.
  • The created WooCommerce order and its pending-payment status.

Understand the limits

AI can misread values. Staff review and explicitly confirm every order. Version 0.3.3 supports PDF and JPG/JPEG/PNG up to 5,000,000 bytes; PDFs may have up to five pages. It does not import an email inbox, convert currency or automatically calculate tax. Uploaded documents are processed by the hosted service and its AI provider: read the privacy notice.

Customer PDF → WooCommerce order

A customer sends a purchase order as a PDF. Your team needs a sales order in WooCommerce. This demonstration shows how PotoSales helps prepare it, while you stay in control. We are using the public version, zero point three point three, with fictional data.

1. Upload one customer purchase order

Open PotoSales in the WooCommerce dashboard. Choose Upload purchase order, select the PDF, and click Upload and extract. Each file contains one purchase order. PDFs can have up to five pages. The service prepares a draft; uploading does not create an order.

2. Compare the draft with the original

Open the draft and show the original beside it. Check the buyer, purchase order number, date and currency. In this example, the date needed correction. Always review extracted values. This edited walkthrough shortens pauses between steps and does not demonstrate processing speed.

Choose a customer, or use a guest

For a repeat buyer, select the correct saved WooCommerce customer. This fictional example uses a guest. Guest orders do not save customer specific product mappings or check duplicate purchase order numbers per customer. Editing the order address does not overwrite a customer profile.

3. Match buyer codes to store products

The buyer calls the panel P N L thirty. The store uses a different S K U. Search the catalogue and select the actual product. Repeat for the sealing tape. For a variable product, choose the specific variation. A code match still needs a human check.

4. Check quantities and amounts

Here we have four panels at twelve dollars fifty, and two rolls at eight dollars. The line amounts are fifty dollars and sixteen dollars, totalling sixty six US dollars. Check the selling units too. The plugin does not guess how many pieces are in a case.

Your confirmed amounts are used

An entered line amount takes precedence, including zero. Only an empty line amount is calculated from quantity and unit price. PotoSales does not automatically add or extract tax, and it does not convert currencies. Review the final figures against your customer's document.

5. Preview before you confirm

Choose Preview order. Check the products, quantities, customer and final amount. If something is wrong, go back to editing. When the order is correct, explicitly confirm creation. AI extraction alone never authorizes this step.

6. Continue in WooCommerce

Open the created WooCommerce order and verify the result. Our example totals sixty six US dollars. The order is pending payment. Creating it does not charge the buyer, mark it paid, or complete fulfilment. Continue with your normal store process.
